RE: Online Coaching Policy

This policy was written on 01.04.2020 in response to COVID-19 which has forced the closure of tracks and training sessions throughout the UK.  The policy is intended for members of Hastings Athletic Club (hereafter referred to as the ‘Club’) and extends to the parents / guardians of junior and young athletes, coaches and club volunteers.

Hastings AC recognises that Club coaches may need to offer online or virtual training plans for athletes without themselves being present at sessions.  At the time of writing this statement, the UK Government, UKA and England Athletics have called for a ban on group gatherings which is classed as two or more people who do not live in the same household from meeting.  This means that all club group training sessions have been suspended until further notice.

We recognise that Club coaches may wish to provide online training plans and sessions to athletes and do so with the expectation that members will complete these sessions alone (or with members of their household only), close to home (they do not drive to reach training locations) and adhere to the Government advice on social distancing at all times and only partake in one form of exercise per day.  We recognise that keeping active and maintaining fitness is very important to our members during this challenging time, and the Club is committed to do all it can, in a safe and compliant manner, to provide an athletic provision to our members:

  1. Any virtual race which Club members take part in must also follow the above guidelines.

  2. Training plans and groups are open to all Club members – more information on how to join these groups can be found directly from Coaches or from the Club Secretary.  Details of virtual races or Club events will be posted on the social media channels and members forum.

All members take responsibility for how they train.  Parents / guardians of athletes under 16 years of age are asked to join message groups (which may be on Whatsapp, Messenger, email) on behalf of their child.  If you have any concerns, questions or if you need to discuss anything of a personal nature in relation to your child, we ask that you do not raise them on a group chat and contact the coach directly.

  1. All online / virtual session plans will be given as an option to athletes.  Should you feel unwell or are worried that the session cannot be safely carried out from your home, you should not attempt it.  If you feel unwell, we ask you to visit for further advice.

  2. We ask that everyone who takes part in virtual training groups visits and reads our Code of Conduct policies and social media policy and conducts themselves accordingly.  Anyone who breaks these will be removed from groups / social media forums.

  3. All Coaches will need to make the Club Welfare Officers aware of any junior athletes who are taking part in online training plans so that a risk assessment can be carried out on an individual basis.  The Club has carried out a general risk assessment and the resulting advice is as follows:

  1. If part of your session will take place on a road, we advise that you wear high visibility clothing.

  2. We recommend that junior athletes wear high visibility clothing at all times.

  3. Parents / guardians take responsibility for ensuring that their child exercises in a safe location and has adult supervision at all times.  Ideally, a responsible adult from the same household will run / cycle with them where possible and safe to do so, or alternatively your child should complete a circuit where they can be monitored at all times.
